Catering
Catering for companies and events — shop inquiries, orders, formats, meal plans and diner groups.
Catering is an add-on for a company that serves orders bigger than a basket: lunch for an office, a buffet, meals for a nursery. The customer asks from the shop page, you quote, record the order and watch its delivery.
When it is available
The Catering module works only when:
- your plan includes it (the catering entitlement in Settings → Billing) or Delieta support granted it to you,
- you have it switched on in Settings → Modules,
- you have the Shop switched on — add-ons work only together with it.
A module that is off is not hidden: the catering pages show "Catering is off" and a Go to modules button. The rules for plans and modules are in Modules and billing.
In the panel menu the module sits in the Add-ons group and has three tabs: Inquiries, Orders and Formats (plus Settings). Meal plans have their own menu row in the same group, because they are daily feeding, not a one-off event; they are still part of the Catering module.
Inquiries
The Inquiries tab is the inbox of messages from the shop. The number on the tab counts inquiries still marked New.
Every inquiry has a kind: Contact (a plain message) or Catering. A catering inquiry shows: who it is from, phone, e-mail, company and tax ID (NIP), the chosen format, party size, date, delivery address, diet (vegetarian, gluten-free, lactose-free) and the message.
You work with it like this:
- Change the Status: New, In progress or Closed.
- Save the Outcome: Not known yet, Quoted, Won or Lost, together with the Quote in zloty.
- The Create order button turns the inquiry into an order. Then View order takes you to it.
The Kind and Status filters narrow the list.
Orders
The Orders tab holds catering orders from three sources: From the shop, Entered manually and From an integration (from your own system through the Partner API).
An order records the agreed amount — what you settled with the customer. Delieta computes nothing here from a basket.
The New order button opens a form: customer (name, phone, e-mail, company, tax ID), date (and optionally time), number of people, amount, delivery address, format, products and a note. Insert products from the format copies the chosen format's products into the order.
You move an order's status step by step:
| From | You can go to |
|---|---|
| Planned | Confirmed or Cancelled |
| Confirmed | Delivered or Cancelled |
| Delivered | nowhere — the status is final |
| Cancelled | back to Planned (the Restore button) |
You can record an order in the past by hand, for example when catching up on old work.
Payment is optional
An order is To pay or Paid. You mark it by hand with Mark as paid (and Undo payment reverses it). You do not have to mark anything: an unpaid order still counts as a sale.
Formats
A catering format is a named set of dishes, e.g. "Lunch box", "Buffet" or an occasion package. The customer sees the formats in the shop and picks one in the form. A package is a menu you book for your own group: the guest proposes the date. If you set the date and the programme, that is an Event.
For a format you set:
- Name, description and Photo (JPG, PNG, WebP or AVIF, up to 8 MB),
- Gdzie podajecie (where you serve): "W lokalu" (on site), "Z dowozem" (with delivery) or "W lokalu i z dowozem" (both); delivery by default,
- Price and guests: "Jak liczyć cenę" (how to count the price: "od … zł", "… zł za osobę" or "od … zł za osobę"), Minimum osób and Maksimum osób (empty = no limit, at most 500),
- Menu: sections (e.g. "Zupa" with the note "300 ml/os., do wyboru") and dishes. A dish is a menu product ("+ Produkt z menu") or your own name ("+ Danie"). Dishes with your own name are display only: they never reach a job or stock. "+ Sekcja" adds a section and "Bez sekcji" collects the rest,
- W cenie (included): a list of points ("+ Punkt", "Kopiuj z…"), up to 12,
- Dodatki płatne (paid add-ons): name, amount with unit (szt, kg, g, l, ml, porcja), price, optionally a product; up to 30,
- Warto wiedzieć (good to know): terms, up to 8 points,
- the Widoczny w sklepie switch.
The format list has the filters "Wszystkie", "W lokalu" and "Z dowozem". Without a price the customer sees "Zapytaj o cenę". A hidden format disappears from the shop but stays in the panel. Deleting a format does not change old jobs — they keep its name.
A dish only for meal plans you hide from the shop menu with the "Poza sklepem" choice on the product (Products).
The form in the shop
The shop page shows an Ask about catering form. The guest picks a format and gives name, phone or e-mail, number of people, date (time optional), delivery address and a message. After sending they get an inquiry number, and the inquiry goes to the Inquiries tab.
When a format is offered both on site and with delivery, the guest chooses where to eat. They can add paid add-ons to the package (quantity 1 to 99, each add-on once). The price and name of an add-on always come from the panel; the form does not send them.
In the inquiry you see the facts "Gdzie" (where), "Pakiet" (package), "Dodatki" (add-ons) and "Szacunek" (estimate, marked "szacunkowo"). The estimate is a hint for your quote, not a price.
Rules Delieta checks:
- The number of people must fit the format's range: "Ten pakiet jest dla co najmniej 15 osób." or "Ten pakiet jest dla najwyżej 50 osób."
- The place must be in the format's offer: "Ten pakiet jest dostępny tylko w lokalu." or "Ten format jest dostępny tylko z dowozem."
- An add-on must belong to the chosen package: "Ten dodatek nie należy do wybranego pakietu."
- A date in the past is refused with a message. A date without a time for today is accepted.
- The phone number can be typed the way people write it — including another country's dialling code.
When the module is off, Delieta refuses catering inquiries from the API as well. The shop saves them through the Partner API — that is what shop keys are for.
Meal plans
A meal plan is a meal schedule for a cycle of days (1 to 31). It is for a kitchen that feeds fixed groups: nurseries, kindergartens, schools, canteens, box diets.
You start a new meal plan with the question "Who are you feeding?":
- Nurseries, kindergartens, schools — age groups with kcal and sodium norms,
- Canteen — women and men, no norms,
- Box diets — calorie levels as groups,
- Empty — you add groups and meals yourself.
Groups, norms and meals are added for you, and then you can change them in the Meal plan settings: name, cycle length, groups and meal names.
In the meal plan grid you pick dishes for each day and meal. For each group the panel calculates:
- kcal and sodium,
- ingredient cost per person,
- net margin.
The values come from recipes and ingredients. If something is missing — a recipe, a price, nutrition values or a base portion — the result is marked incomplete and the panel points to the products you need to fill in. You can change the portion for one group in the Portions window. This is not a certificate of compliance with norms.
Groups
Groups are the recipients of meal plans. You find them in Meal plans under the Groups and norms tab (only with catering on).
A group has a name, an optional gross rate per day for one person, a VAT rate and — if you need them — kcal from and to and a sodium ceiling. You set the word you use for recipients (e.g. person) under Meal plans → Settings: how it is declined in singular and plural. The panel uses your word in rates and summaries.
